Xstrata Alloys has become the latest major mining company to switch to the SAP Document Management System (DMS) to manage documents at all its operating sites.
The SAP DMS was implemented by NokusaEI, the specialist ECM consultancy, as part of the full SAP implementation at Xstrata led by Accenture.
Cobus Klopper, the Xstrata Programme Manager, states: "The SAP DMS system as installed at Xstrata is a quality system, implemented by a team of highly competent and dedicated consultants. We are very satisfied with the functionality in the SAP DMS system, and by the professional way it was implemented."
According to Thys Bosman, the NokusaEI lead consultant on the project: "The SAP document management system is ideal for a company like Xstrata Alloys because its deep integration in SAP and links to business processes leads to significant productivity and operational efficiencies. The commitment and dedication of the Xstrata implementation team has ensured that they designed and implemented a state-of-the-art system, and Xstrata Alloys is already gaining significant operational benefits."
Because of the large base of non-regular SAP users at Xstrata Alloys, the SAP Easy Document Management front-end to the SAP DMS is being used very effectively for retrieval of documents to provide a simplified user experience, while maintaining the integrity and full functionality required of such an advanced system.
A prime requirement of Xstrata was to improve the invoice verification process. By using a Kofax interface with optical character recognition, invoices are scanned, linked and matched automatically to the SAP transaction and using standard SAP workflow for the authorisation process, an impressive improvement in productivity was achieved.
