Spescom Software (Pty) Ltd has supplied its proprietary eB product suite to Total Facilities Management Company (TFMC).
Spescom Software is the South African integrated document, configuration and records management (iDCR) division of multinational technology innovator Spescom.
TFMC is a facilities management company that is part of the Mvelaphanda Group Limited and provides comprehensive services entailing property management, maintenance, project design and management services.
According to TFMC configuration management service leader, Susan Nel, the implementation of eB positions the company to attract and maintain multiple clients.
"The deployment of eB allowed us to move from paper-based administration to an electronic document management system. Assets, including buildings, are listed on a database with documents relating to specific properties linked to the building and to each another."
According to Nel, eB is a key factor when tendering for new projects.
"One of the services we offer potential clients is configuration management which is made possible through eB. The solution provides greater consistency and reliability of information and offers flexibility in that we are able to oversee different clients and support different processes.
"We are the first facilities management company in Africa to obtain ISO 9000 certification and eB supported us in this endeavour."
According to Spescom Software regional director, sub-Saharan Africa, Jeff Bowyer, the product suite is capable of managing and controlling the company's entire information content.
"eB was deployed at TFMC's head office in Centurion. All personnel, from any satellite office, can access the information from this central server and be assured of working with the latest, most accurate documents."
Bowyer concludes that the product suite provides the foundation for a powerful information management platform that enables businesses to have rapid access to accurate information in context.
