The Mozambique operations of the international Group 4 Securicor security systems and guarding services provider are being streamlined with the supply and implementation of a SAP Business One integrated business software solution at Maputo by mid-market ERP solution provider Lorge.
Being executed in two phases, the R300 000 first phase of the SAP Business One ERP system contract included customised solutions to track marketing/sales leads and automatically convert them into contracts and orders when a sale is confirmed, and to accommodate recurring billing in the form of the monthly charges made by Group 4 Securicor for its services.
The second phase is focused on the integration of the guard roster system and the company`s Caresoft payroll software into SAP Business One.
"The allocation of security guards to individual clients and the master information on all employees is now also being maintained in the ERP system," said Eugene Olivier, general manager of Lorge`s SAP Business One business unit. "The system also manages stock control of uniforms, boots, torches and other equipment issued to guards, providing management with the date of equipment issue, to whom and the due renewal or replacement date."
Procurement is also managed through the ERP system with purchase orders, invoices, receipt of stock, and creditor payment all processed electronically and then transferred through the general ledger in the accounting programme.
"The roster system software will track guard allocations and allow clients to be billed on a consumption basis and at the same time filters through the payroll program to automatically calculate the remuneration for each guard," said Olivier.
"A major benefit of this arrangement will be that it provides Group 4 Securicor with a foolproof checking mechanism that will eliminate any possibility of fraudulent `ghost guarding` taking place."
The result will be a totally integrated system that streamlines and integrates all of the Group 4 Securicor operational and financial processes to generate savings through improved operational efficiencies, billing accuracy, guard roster accuracy and stock control.
Group 4 Securicor Mozambique employs some 1 600 people and operates nationally, serving public authorities, SME and large businesses, homeowners, international organisations and embassies. The company offers cash transportation, manned security -- including mobile patrols, stationary guards, alarm response services and physical protection -- security alarm installation and monitoring and security survey services.
