Intervate, a leading South African provider of software integration and development solutions, recently implemented a large-scale intranet project for the Department of Justice and Constitutional Development (DoJCD). Designed to provide collaboration and knowledge sharing capabilities to staff, the intranet also provides the organisation with enhanced internal communication capabilities.
The DoJCD required an intranet solution to introduce improved collaboration, communication, information access and knowledge sharing within the organisation. As a result of Intervate`s strong partnership with Microsoft and expertise within the public sector, the company was selected to develop a solution that addressed the needs of eight DoJCD business units and approximately 10 000 users.
Based on the DoJCD`s requirement for an intranet that provided collaborative and knowledge sharing capabilities, Intervate identified Microsoft`s SharePoint Portal Server 2003 and Office 2003 as the basis for the solution.
"It is vital that the Department of Justice and Constitutional Development maintain an inclusive policy of knowledge sharing and collaboration. We were therefore looking for a solution provider that could provide us with a high level of service, as well as a fully functional intranet and collaboration solution that integrated with our existing software solutions. Intervate perfectly fitted this profile," says Madelaine Meyer at the Department of Justice and Constitutional Development.
The intranet provides various statistics and reports, as well as authentication services, which allow users to update their information and view that of other staff members. This eases the management of human resources, while allowing staff to maintain close contact - enhancing collaboration.
Additionally, the solution developed by Intervate includes a centralised knowledge and information management platform which enables the consolidation of disparate data streams into a single point of access and its advanced portal functionality allows for the unification of data from various sources - without engendering the need for modification to underlying systems.
Additionally, workspaces address the cooperation requirements of team members involved in the fulfilment of information and content generation and management. The collaboration capabilities included in the solution provide features which are enabled on the case workspaces. This allows team members to initiate and participate in discussions around case activities and information views, respectively, improving the department`s decision-making capabilities and case turnaround times.
In addition to its collaborative capabilities, document management is a key element of this solution and provides document version control, security, document classification and approval workflow functionality; to manage documents throughout the information development process and lifecycle. Furthermore, documents are made available for publishing alongside the various information views and reports. This means that staff have access to the most recent and relevant documents at all times - ensuring service levels are maintained.
Migal van As, CEO of Intervate, concludes: "The DoJCD intranet initiative has allowed the organisation to build an online knowledge base, thereby enhancing organisational learning and knowledge sharing. The intranet also provides productivity benefits related to improved collaboration and increased communication capabilities. The access to information enabled by the solution further allows staff to become more independent in terms of day-to-day decision making and enhances the organisational learning process."
