Fairground Holdings, which owns the biggest conferencing facility in Botswana, has significantly boosted efficiencies and customer service since installing the Rendezvous software solution from hospitality software focused company, NFS Technology.

This is according to Boitshoko Ketlareng, food and beverage manager at Fairground Holdings, who said the company - based in Gaborone - makes use of the software to capture all bookings, from "incoming queries to invoicing".

Rendezvous, a user-friendly convention centre management software system, is one of the most popular - and widely installed - software solutions of its kind in South Africa. The software is continually being updated by NFS Technology - formerly known as NFS Hospitality - and is being installed at a growing number of establishments, including conference and training centres, and a wide range of universities.

Nicolette Kruger, software implementer at NFS, said the software is designed for conference centres and unique venues, with the scheduling software able to control all aspects of managing a meeting or event - including reserving space and resources, requesting deposits and managing payments, assigning and overseeing tasks, tracking booking changes, and ensuring the proper delivery of catering and audiovisual equipment.

Commenting further, Ketlareng said: "Fairground Holdings currently has 32 venues that can accommodate from 10 to 5 000 people, who are seating in a cinema-style arrangement."

He said the company had needed to significantly speed up data capturing and invoicing to cope with the "large flow of work. We currently have 10 users making use of the software, with all users connected to the Rendezvous server. The software," explained Ketlareng, is "not linked to any other software or programme being used within the company."

Linzi Chapman, Operations Manager at NFS Technology, said Rendezvous is being used with "a high level of success" in various global organisations, and in each sector it serves, the technology helps to enhance operations, save time, reduce costs and increase employee satisfaction.

"Rendezvous is an effective conference scheduling software solution with extensive capabilities to manage all enquiries, in-house catering, inventory control, billing, marketing and other value-added requirements for conference centres. The software also has the ability to interface with third party meeting and event planning solutions, providing a complete solution for small meetings to major conventions.

"Our client spread in southern Africa and abroad reflects a wide spectrum of clients, from the smallest operation to larger corporations, which manage events and conferences for 1 000 and more delegates," said Chapman.
