The Desmond Tutu HIV Foundation's (DTHF) new integrated enterprise resource planning system has gone live at six of the organisation's locations. The solution, SAP Business One, was implemented by Bluekey Software Solutions within the allocated time and budget. With training complete, users are already benefiting from real-time access to accurate information, streamlined communication and advanced management tools.
Alain Feudjou, Grant Administrator and IT Manager at The DTHF, says the implementation went smoothly and that the organisation is excited about leveraging SAP Business One's features to gain a tighter grip on the management of its numerous projects and optimise efficiencies.
“I've really been looking forward to the system going live. The training period was professional and went very well; it's been a smooth transition and I am impressed with the additional features,” says Feudjou.
The DTHF, which is run in association with the Desmond Tutu HIV Centre at the University of Cape Town's Institute of Infectious Disease and Molecular Medicine, is involved in numerous initiatives, including providing antiretroviral therapies, operating free mobile HIV testing units, HIV and tuberculosis research, preparing communities for HIV vaccine clinical trials, and education programmes around HIV prevention.
The DTHF wanted a flexible business management system that could provide a central, enterprise-wide platform for managing finances, monitoring the progress of its numerous projects, facilitating better and faster reporting, and delivering access to information. The high customisability of SAP Business One and the ease with which it is integrated with other SAP suites run by the organisation's affiliates made SAP Business One a good fit for the DTHF.
“SAP is a great step forward for the DTHF. The system will enhance our grant administration and management reporting. SAP Business One will help improve project management and budget planning. In addition, the controls integral to the SAP system decrease risk and this should improve our system audits. The DTHF operates a wide variety of projects from six sites; our previous accounting system was inadequate. The change to SAP has been long overdue,” says the DTHF's Chief Financial Officer, Ganief Abraham.
Commenting on the implementation at the DTHF, Bluekey Director, Andre Adendorff says: “SAP Business One is more than an ERP system. It is an integrated business management tool that pulls together key functions of the organisation to provide one source of accurate information which enables better decision-making, ensures continuity of processes and transactions, and allows for cohesive control of the organisation.
“The technology also assists organisations to achieve the highest level of efficiency. By implementing SAP Business One, the DTHF now has real-time insight into pending grants and projects in-progress, together with better controls over procurement, spend and claims processes.
“DTHF's thought-leadership and participation during the project life cycle ensured a well-designed system and a smooth transition. SAP Business One provides the organisation with a superior business management platform, supporting organisational growth and innovation well into the future, also allowing the DTHF easy administration at locations previously not possible,” concludes Adendorff.
