Softline Accpac 2004 business partner of the year, AccTech Systems, is to enhance the Law Society of South Africa`s (LSSA`s) financial system with business intelligence features.
The LSSA is the umbrella body of the attorneys` profession in SA. It aims to promote the common interests of its members, having regard at all times to the broader interests of the public whom the legal profession serves.
"We have been using Accpac for more than seven years and the upgrade to the new Accpac 500 ERP version 5.3 is exciting for the Law Society," says Tony Pillay, financial manager of the Law Society of South Africa.
"Running on a Microsoft SQL database, the law society operates eight training centres across SA. These include Durban, Cape Town and Pietersburg where qualified law students have the option to attend practical law school to cut down the mandatory articles period to one year," says Tertius Zitzke, managing director, AccTech Systems.
"The law society utilises Accpac`s Purchase Order module using Accpac`s Managed Operations option. This results in purchase orders being processed via the Web and sent back to the head office in Pretoria."
"Another important factor in our Accpac upgrade is the installation of AccTech`s eWorkflow Accounts Payable Reconciliation module," says Pillay. "The AP Recon function is split into three sections, namely reconciliation, remittance and Accpac interface. The reconciliation phase allows us to replicate the manual reconciliation function by drawing the vendor information, ie invoices into a separate environment that allows us to individually reconcile each account entry to those on the vendor`s statement. Following this, the remittance stage takes the information saved during reconciliation and assists us in preparing the payment. It strips out any invoices which are not due and calculates settlement discounts, which can be earned."
Once the reconciliation and remittance stage is complete, the transactions are written into Accpac`s Accounts Payable module for payment via cheque or EFT.
"AccTech eWorkflow`s AP Recon module allows companies to only pay what should be paid, when it should be paid," says Zitzke.
The LSSA is also looking forward to migrating to Accpac Insight for Management reporting, which will result in improved financial information for all decision-makers in the society.
