3D Design achieves employee satisfaction

3D Design, a company that specialises in the design and construction of exhibition stands, has implemented 20 seats of Maximizer CRM 10.5 to replace its current manual workflow system and manual-based processes and to give the company a 360 degree view of its information.

John Kullmann, Managing Director at 3D Design, says the company is currently not using Maximizer CRM as a customer relationship management (CRM) tool per se but as a platform to run day-to-day business-critical process flows.

"We build more than 350 stands a year so it's important that all users have access to the same information at all times when working on a specific project and that management is able to track and make real-time decisions based on relevant and current information," he says.

"Another critical function 3D Design needed was to digitalise our job bags. Every sales executive is responsible for filling out a job bag when the order is placed, which needs to be signed. We were using a manual process which was cumbersome, but it has now entirely been replaced by Maximizer using the opportunity module," Kullman explains.

In order to successfully manage the job or opportunity and provide all the validation necessary, a new development was done by Maximizer implementation partner, JRB Solutions. The system now allows users to manage the job and to provide authorisation for further actions wherever necessary, such as the exhibition floor plans, height restrictions, redesigns, as well as order and invoice management, to name a few.

"Once the job bag is approved internally, a designer is allocated to work on the specific job and to start the design process. Using Maximizer, it is possible to see which designer has capacity to get the design work done on time before an event and allocate the work to them."

"The designer is then notified on new work that needs to be done. Each designer will then see a list of tasks or appointments on their Work Day board within Maximizer CRM. Once the design is completed, it is sent for internal approval and also uploaded in the system," he says.

According to John Lombela, Developer at JRB Solutions, the company designed a quoting solution that is custom to 3D Design's requirements.

"The quoting system is used to create and manage all quotations within Maximizer which can be directly mailed to the client in an Adobe PDF file once it is approved. The Pastel integration was also done by JRB Solutions and provides information regarding invoices, whether it has been paid or not and other details such as amounts and related sales executives," he says.

Lombela says another important part of the solution is order management. Using Maximizer, 3D Design can ensure that the relevant orders are timely placed to get materials from suppliers when a specific job is created. In addition to work flow reports, several other reports were designed as part of the development of various other components to have a complete view of the business.

Looking to the future, Kullman says 3D Design is exploring more CRM capabilities of the software solution because of the rich functionality that it provides, and will integrate with its marketing and sales department initiatives.
