The Cancer Association of South Africa's (CANSA's) new payroll system from Softline VIP is helping to free up human resources staff to deal more with its people than with administration issues.
"The implementation of a number of new Softline VIP HR modules has simplified the process of payroll, timesheets, leave applications, skills development and equity, leaving more time for staff related matters and training," says CANSA's HR Head of Human Resources, Rachel Wall.
With more than 340 staff countrywide, based in all the provinces, the HR staff has faced huge challenges to keep up with integrating payroll inputs from a number of sources.
CANSA has been using Softline VIP Classic for a number of years, but towards the end of 2009 found that there were still too many aspects to be done manually. They thus decided to upgrade their system to include a number of new modules to streamline the payroll process. The association upgraded to Softline VIP Premium and also makes use of HR Premier, Business Intelligence Manager and Infoslips. Specific modules were also custom designed for CANSA for report writing, time sheets and costing reports that will make the system even more effective. The next step in the process would be for CANSA to implement the employee self-service system.
"The decision to consolidate to one service provider using Softline VIP has been a good one as it ensures we have an integrated process, which makes life much easier for a payroll administrator," says Wall. "The service rendered by Softline VIP was outstanding. They worked with us on weekends and came up with a number of recommendations to ensure optimisation of the upgraded system."

CANSA's new payroll system is broad enough to include all aspects of its business. Processing data at source through the implementation of the new time sheet system developed has had a huge impact on the efficiency and effectiveness of the end-to-end process, and resulted in huge cost savings. The new system is also making the work of the finance department easier as they are able to see everything in one source file instead of working between many individual financial reports.
"Overall, the new payroll system from Softline VIP has improved the service proposition to the staff of CANSA and at the same time reduced the workload of the HR department - a win-win situation for all parties," concludes Wall.
In support of breast cancer awareness month in October, Softline VIP has donated R15 000 to CANSA. Sandra Swanepoel, sales director, Softline VIP, says the donation is part of the company's VIP Cares initiative, which enables each division and branch within Softline VIP to nominate and support a charity or non-profit organisation of their choosing.
