The integration between ITS and MyMarket.com was completed some time ago. In integrating the systems, input was also obtained from the Purchasing Consortium Southern Africa (PURCO).
The net result of this collaboration is that PURCO downloads and hosts contracts negotiated with suppliers on the MyMarket.com business to business (B2B) exchange. These catalogues (contracts) can be edited and approved by PURCO.
ITS clients can then download the PURCO amended catalogue items directly into the ITS Procurement Management System. The advantage is that products, suppliers and pricing on the ITS system are synchronised with the PURCO negotiated prices.
Contacts or pricing structures negotiated between individual institution and suppliers outside off the PURCO contracts can be handled in exactly the same way. PURCO approval is not required in this case as contracts and pricing structures are typically approved by the Head of Procurement at the institution.
The system further facilitates paperless requisitioning and acquisition. Requisitions processed and approved using the ITS Finance iEnabler system can be copied directly to single or multiple order(s). The orders are electronically routed directly to the B2B Exchange (marketplace). The supplier then picks up the order directly from the B2B Exchange. The system facilitates the generation and sending of e-mails to the respective parties indicating the status of the order.
This development is a logical extension of the current ITS Procurement system and allows institutions to realise the advantages of a paperless and electronic procurement management system, with its related saving on costs.
After a successful pilot project at Nelson Mandela Metropolitan University, the system is now in production and is being fully utilised by the university.
