Management of telephony expenditure within the medical aid environment

Unison`s Galactrix Enterprise Solution assists top medical aid company, Discovery Health, to accurately manage telephony costs

The nature of the medical aid industry is high incoming and outgoing telephony traffic and for this reason the industry has one of the highest Telkom accounts in SA. In order to effectively manage its telephony expenditure, Discovery Health has chosen Unison`s Galactrix Telephone Management System to assist it to accurately manage and allocate its telephony costs. On top of the Galactrix TMS, it has also installed the Galactrix Fax Server Billing Application to manage its fax server accounts.

According to New Business Development Consultant, Steve Bravo, one of the primary reasons for Discovery choosing the Galactrix TMS and Fax Server Billing Application, is the systems` scalability. In essence, the system can be increased to suit the needs and requirements of the company as it grows and develops.

With the Galactrix TMS in place, it will be able to manage and track all aspects of its telephony infrastructure. As the system has a highly sophisticated call costing solution and an advanced telephony infrastructure billing system, it will be able to reduce any inaccurate allocation of its accounts. The company will also have the ability to generate precise reports, which will allow for accurate forecasting of budgets.

Bravo states: "Previously they did not have the ability to accurately account for their fax server expenses. However, with the Galactrix Fax Server Billing Application in place, they will now be able to allocate these costs in the same manner as a TMS."

In addition to the cost of the call, the Galactrix Fax Server Billing Application has the ability to cost the number of fax pages sent and received. These calls can then be allocated to the right cost centre via the user and not the extension. Multiple fax servers can also be billed, whether they are sitting on remote or local locations.

Another factor that contributed to Discovery installing the Fax Server Billing Application, is that it can be billed for by adding the facility to the list of fixed cost items associated with a user. The company`s administrator is now able to manage these costs, as well as determine a more cost-effective time for the sending of expensive faxes. Overall this leads to less administration as all faxes and the TMS are located in one server environment.

With both systems installed at the beginning of the year, effective reporting and accurate cost allocation are performed on a regular basis.
