Intervate - a leading provider of integration, workflow and document management and intranet and portal solutions - has developed a `track and trace` application for the Department of Justice and Constitutional Development (DoJ&CD), providing it with enhanced control over the tracking and movement of physical items.
"We required a solution that would provide us with stricter control over the physical items entering and leaving the department, as these are often important legal documents. We selected Intervate to develop a solution for us based on their proven track record with us and their expertise in public sector solution development," says Madelaine Meyer at the Department of Justice and Constitutional Development.
Due to the number of physical documents - such as dockets and charge sheets - within the DoJ&CD and the previously unclear process for their management, employees within the division were unproductively spending time in locating items. To address this challenge, the department`s Information and Systems Management (ISM) Division identified the requirement for a technological solution to assist in the management of this business process. Intervate was elected to develop a track and trace application for the organisation, leveraging the department`s existing investment in Microsoft technology.
"The track and trace application was built on the foundation of an existing request management framework, which Intervate had already developed for the Department of Justice and Constitutional Development. Our thorough and existing understanding of the department`s processes ensured we were able to deliver a solution that perfectly matches the DoJ&CD`s requirements," adds Migal van As, CEO of Intervate.
The solution provides staff at the DoJ&CD with a tracking process, including access to functionality such as categorisation, meta-data creation, search capabilities, tracking history, acknowledgement of receipt, default queues and e-mail alerts. This has facilitated vast improvements in staff productivity, as it is no longer necessary for personnel to spend excessive amounts of time searching for items. In addition, it has led to a reduction in misplaced items due to the accountability and stricter control measures enabled.
