Alexander Bay diamond mining company Alexkor has enjoyed significant benefits from the ability to custom-print its documents using the Create!print 5.5 module of Create!form, a software solution that streamlines and e-enables output formatting and delivery of business documents.
The Create!form suite of electronic form and document output management systems provides output and delivery capabilities for any size organisation and enables companies to improve their document management processes while significantly reducing their reliance on pre-printed forms, says Paul van Aswegen, sales engineer at local Create!form distributor CenterField Software.
"Create!print allows Alexkor to reformat documents from its JD Edwards World application before printing them," Van Aswegen says. "This software gives non-IT staff at Alexkor the freedom to insert pictures or logos, watermarks, barcodes or backgrounds into any document without requiring the support of the IT department."
Create!form solutions replace cumbersome and expensive pre-printed forms such as invoices, cheques, purchase orders and other transactional documents with more efficient and cost-effective electronic documents that can be automatically delivered via print, fax, or e-mail, digitally archived and then retrieved via the Web or LAN, Van Aswegen says.
Create!print gives organisations the power to easily neaten documents, enhance corporate branding, or change company details and letterheads whenever necessary, he says.
"We are no longer tied to the expense of pre-printed stationery," says Carbyn Goosen, network manager at Alexkor. "Pre-printed stationery is restrictive to organisations because when any changes are made to company details, the old stationery must either be thrown out, which is a waste of money and paper; or it must be used up, which keeps the wrong details out in the market for unnecessary periods of time. Create!print enables us to design our documents according to our needs and then print on demand."
Alexkor has been using the Create!print solution for 11 years and will upgrade to the most recent version shortly after it upgrades its JD Edwards application to PeopleSoft Enterprise One, which the company plans to do in the near future, Goosen says.
Alexkor was established in 1989, when the State Alluvial Diggings was taken over from the South African government and transformed into the Alexander Bay Development Corporation.
The company`s core business is mining of diamonds on land, along rivers, on beaches and in the sea along the northwest coast of SA. These activities are complemented by geology, exploration, ore reserve planning, rehabilitation and environmental management.
Alexkor`s non-core business activities include residential services, community services, outside engineering services, external transport services, guesthouses, campsites, recreational clubs, and a museum.
"Following the rationalisation process instituted by the company`s board, Alexkor aims to minimise and contain all costs and improve efficiencies in the organisation," Goosen says. "Create!print helps us to achieve this within our administrative processes."
Create!form products integrate seamlessly with existing applications, be they desktop accounting or enterprise applications such as PeopleSoft/JD Edwards, Oracle or SAP. Output solutions can be implemented without modifications to existing applications, Van Aswegen says.
The Create!form suite includes Create!stream which will automatically copy, split, extract from, bind and distribute files and deliver them to any network printer or fax. Other modules are the Create!print solution that Alexkor is using; Create!fax; Create!email; and Create!archive, which provides an easily accessible record of all system outputs. An organisation can also safeguard against check fraud with the Create!form CheckDefense module.
